Importing Your Trial Balance (Desktop)
What it is: The process of bringing a client's account balances into Draftworx Desktop from an accounting system or spreadsheet, so they can be linked and used to generate the Annual Financial Statements.
What it's for
The Working Trial Balance is the foundation of every set of financial statements in Draftworx. Before you can link accounts or open the statements, you need to load the client's trial balance data. Draftworx Desktop supports direct connections to popular accounting systems as well as manual imports from Excel and other formats.
How to do it
Importing from an Excel Spreadsheet (DX006)
- On the Working Trial Balance, select Spreadsheet.
- Browse to the Excel file (.xlsx, .xls, or .csv) and click Open.
- Assign each required column: Account Number (must be unique), Account Name, Debit, and Credit.
- If debit and credit amounts are in one column as positive/negative values, assign that single column to both Debit and Credit.
- Confirm the starting row (first active data row) and select Import.
Importing Directly from Sage Business Cloud (DX020)
- Select Direct Import, then Sage Business Cloud.
- Enter your Sage One login credentials and log in.
- Select the entity to import from.
- Optionally tick Import Monthly Balances for a monthly breakdown; leave unticked for yearly. Tick Automatically Link Accounts to have Draftworx suggest link numbers.
- The date range defaults to the financial year set up in the client file — adjust if needed.
Importing from Sage One (DX017)
- Select Sage, then Sage One.
- Enter login credentials and select the relevant entity.
- Select Import.
Importing from Pastel Evolution (DX022)
- Select Sage, then Pastel Evolution, then OK.
- Enter your Evolution database credentials.
- Select the database, adjust dates if needed, choose the import option, and import.
